Complete Your Repair Facility Profile
Setting up your facility profile correctly ensures smooth claim processing and helps contract providers verify your credentials.
Accessing Your Profile
- Log in to OtterClaims
- Click on your facility name in the top right corner
- Select "Facility Profile" from the dropdown menu
Basic Information
Complete these essential fields:
- Facility Name: Your official business name
- Address: Physical location of your facility
- Phone Number: Main contact number
- Email: Primary business email address
- Website: Your facility's website (optional)
Business Details
Add important business information:
- Tax ID/EIN: Your federal tax identification number
- Business License Number: State or local business license
- Certifications: ASE, manufacturer certifications, etc.
- Insurance Information: Liability insurance details
Labor Rates
Set your standard labor rates:
- Diagnostic rate per hour
- Mechanical repair rate
- Electrical repair rate
- Body work rate (if applicable)
Note: These rates will be used as defaults when creating claims. You can always adjust them on individual claims if needed.
Operating Hours
Specify when your facility is open:
- Set hours for each day of the week
- Mark any days you're closed
- Add special hours for holidays (optional)
Service Capabilities
Let contract providers know what services you offer:
- Types of vehicles serviced (passenger, commercial, heavy-duty)
- Specializations (transmission, engine, electrical, etc.)
- Manufacturer certifications
- Available equipment and tools
Upload Documents
Attach copies of important documents:
- Business license
- Insurance certificate
- ASE certifications
- Manufacturer certifications
- W-9 form for payment processing
Save and Update
Click "Save Changes" at the bottom of the page. Your profile is now complete! You can return to edit your profile at any time as your business information changes.
Pro Tip:
Keep your profile up to date with current certifications and labor rates. This helps contract providers approve claims faster and ensures accurate payment processing.
